Certificate Size and Printing: A Practical Guide

A4 versus US Letter, landscape versus portrait, what paper weight to buy, and the print settings that stop a certificate coming out with a white band down one side.

What size is a certificate?

A4 — 210 × 297 mm. That is the standard almost everywhere outside North America, and it is what the certificates from this generator are sized to.

US Letter — 216 × 279 mm. North America’s standard. Slightly wider and slightly shorter than A4.

The difference matters less than people fear. An A4 design printed on US Letter loses about 18 mm of height and gains 6 mm of width, which lands entirely in the margin on any sensibly laid-out certificate. Certificates made here print on both without scaling artefacts, because the margins are generous enough to absorb the difference.

What you should not do is set your printer to “Fit to page” and then “Scale to 94%” as well. Pick one.

Landscape or portrait?

Landscape is the convention. It frames better, it suits a single citation line, and it is what people expect a certificate to look like.

Portrait earns its place when there is more text — a list of modules completed, a long body paragraph, multiple signature blocks. It also stacks better if recipients are filing them.

If you are producing a set, pick one and stick to it. A mixed batch looks accidental.

Paper

This is where the money goes, and it is worth spending.

160 gsm is the answer for most people. It costs very little more than copier paper and the difference in the hand is immediate.

On finish: matte or lightly textured photographs better than gloss, which matters if certificates are handed over at a ceremony where people take pictures. Gloss also shows fingerprints.

Check your printer’s specification before buying anything above 200 gsm. Many office multifunction devices top out around 160 gsm from the main tray, though the manual bypass tray usually handles more.

Turn scaling off. “Actual size” or 100%, not “Fit to printable area”. Fit-to-page shrinks the design by a few percent and leaves an uneven white margin.

Choose the right paper type in the driver. Setting it to “Card” or “Heavy” changes the fuser temperature and the feed speed. Printing 250 gsm on the “Plain” setting is how you get smudging.

Print one test on plain paper first. Always. Especially the day before a ceremony, when a jam or an empty toner cartridge is a real problem rather than an annoyance.

Borderless printing is mostly a trap. Few office printers do it properly, and full-bleed designs printed on a printer that cannot bleed come out with a white band down one edge. The designs here are laid out to work with a normal printable area.

PDF or PNG?

PDF for printing and filing. Text stays vector-sharp at any size, and the file is what a print shop expects.

PNG for email, Slack, and social posts. A PDF attachment is friction for a recipient who just wants to look at it on their phone. PNG also embeds directly in an email body.

Framing

Standard A4 frames are everywhere and cheap. If the certificate will be framed:

  • Leave the margins alone. Frame mounts eat 5–10 mm on each edge, and a design that runs close to the paper edge will lose part of its border.
  • Avoid gloss paper, which reflects badly behind glass.
  • Print on 200 gsm or heavier so the certificate does not buckle inside the mount.
