What to write on a training certificate

Training wording should be specific and boring, in the best sense. Somebody may have to rely on it.

  • Hours and assessment

    Samuel Okafor has completed 16 hours of instruction in Manual Handling and passed the practical assessment on 9 February 2026.

  • Compliance module

    This certifies that Samuel Okafor completed Anti-Bribery and Corruption (Annual Refresher) on 9 February 2026.

  • Health and safety induction

    Samuel Okafor has completed the Site Safety Induction for Northgate Works and is cleared for site access from 9 February 2026.

  • With an expiry date

    Samuel Okafor completed Emergency First Aid at Work on 9 February 2026. This certificate is valid until 8 February 2029.

Worth knowing

Training certificates get audited

  • Unlike an award, a training certificate may be produced years later to prove someone was qualified on a given date. Missing details become a real problem.

  • Hours and course titles have to match the training record exactly, or the certificate contradicts the system it came from.

  • Refresher cycles mean the same person needs the same certificate again next year — with a new date and nothing else changed.

Size, format, and printing

  • Size

    A4 (210 × 297 mm), which also prints on US Letter without scaling artefacts. Most designs come in landscape and portrait.

  • Paper

    Plain paper is fine day to day. For anything presented in front of people, 160–250 gsm gives the certificate enough weight to feel like an object. Matte photographs better than gloss.

  • PDF or PNG

    PDF if it will be printed or filed — the text stays sharp at any size. PNG if it's going into an email, a chat app, or a social post, where a PDF attachment is friction.

Common mistakes

What goes wrong, and how to avoid it

  • Leaving the hours off

    Hours are often the whole point for CPD and compliance records. If the course has a defined duration, print it.

  • No expiry on training that expires

    First aid, forklift, food hygiene — plenty of certifications lapse. A certificate without an expiry date invites someone to assume it's still valid.

  • A course title that doesn't match the LMS

    If the certificate says 'Fire Safety' and the training record says 'Fire Awareness (FS-102)', someone will eventually have to reconcile the two. Use the official title.

  • Treating it as proof of competence

    A completion certificate records attendance and assessment. It isn't a licence or an accreditation unless an accrediting body issued it.

About the training certificate generator

What has to be on a training certificate?
The recipient's full name, the exact course title, the completion date, and the issuing organisation. Add hours if the course has a defined duration, and an expiry date if the certification lapses.
Can I put an expiry date on it?
Yes — write it into one of the text fields on the design, for example 'Valid until 8 February 2029'. There is no separate expiry field in the free tool.
Is this suitable for compliance records?
The certificate itself is fine as a record of completion. What the free tool cannot give you is a verification URL a third party can check, which is usually what auditors want. That's a CertSeal account feature.
We train 300 people a year. Can I automate this?
Not with the free generator, which makes one certificate at a time. CertSeal issues from a CSV and can send certificates automatically when someone finishes in Zoom or your LMS.
Can I reissue the same certificate next year?
Yes, but you'll fill the form in again — free designs aren't saved between sessions. Saved, reusable designs come with a paid account.
